How It Works — Frequently Asked Questions

The Discovery phase begins with a conversation — via phone, video call, or in person if convenient. We ask you to walk us through your current processes, tell us what tasks take the most time or cause the most frustration, and share what tools you currently use. We take detailed notes, ask clarifying questions, and create a process map and automation opportunity summary. This stage is completely free and carries no obligation.
Build timelines depend on the complexity of the automation. A straightforward single automation — such as a lead capture and follow-up flow — typically takes 1–2 weeks. A multi-step, multi-system integration could take 3–6 weeks. We always give you a clear, specific timeline during Discovery, and keep you updated with progress demonstrations throughout the build.
We test every automation against standard operating scenarios, edge cases (unusual but valid inputs), failure scenarios (what happens when a connected service is temporarily unavailable), and error recovery (does the system retry or alert you correctly when something fails). We only sign off on an automation as complete when it passes all tests consistently. You are also invited to test it yourself before launch.
We schedule one or more training sessions with your team — via video call or in person — where we walk through each automation, explain what it does, show you how to monitor it, and explain what to do if you notice anything unexpected. We follow this with written documentation and, for more complex systems, short screen-recording walkthroughs. The goal is your team feeling genuinely confident — not just vaguely aware.
Monthly support covers: proactive monitoring of all active automation workflows, same-day response to any errors or failures, minor adjustments to existing workflows as your needs change, and proactive suggestions for new automations or improvements. It is designed to ensure you never have to worry about whether your automations are working correctly — that is our responsibility.
Yes. You retain full ownership of every automation we build for you. We provide documentation so that you or a technically capable team member can make modifications if you choose. We do, however, recommend allowing us to handle changes through the monthly support arrangement — this ensures changes are tested properly and do not inadvertently introduce new errors into your live workflows.
We understand that business circumstances change. All support arrangements are agreed transparently upfront, with notice periods clearly stated in your service agreement. If you need to pause or end the arrangement, we ensure a proper handover so you are never left without the knowledge to manage your automations. Your automation systems will continue to run independently — they do not require our involvement to operate once live.
